With COVID-19 cases lower than they were at the beginning of the year, and more people attending clinics for in-person services, it’s likely that your clinic’s administrative load is higher than it was a few months ago. Universal Office is here to save your staff time and automate daily tasks. Keep reading for five of our time-saving features you should be utilizing at your clinic.
1. Automatic Appointment Reminders and Notifications
If you’re still manually emailing or calling your patients to remind them of their upcoming appointments, Universal Office has just the feature for you.
With a one-time setup, Universal Office’s eBroadcast will automatically send email notifications to your patients. Use the appointment reminder notification to help you minimize the number of missed patient appointments. And take advantage of many more notifications it has to offer: new appointments, cancelled appointments, missed appointments, birthday wishes, and more. 2. Exporting Patient Files
When you receive a request to send one of your patient’s case files to a third party, it can sometimes be a daunting task if you don’t have a quick and easy way to save all those files at once. Luckily, with Universal Office, you can bulk export patient files in as little as four clicks. For more information and instructions on how to export your patient’s files, click here.
3. Billing Integrations
For many clinics, the biggest chunk of administrative time is spent on billing processes. Between Extended Health Benefits, WSIB, and MVA claims, your staff would have multiple billing sites to access. But with Universal Office, you can submit claims directly from the program. Check out the following links to learn more about the advantages of doing your EHC, WSIB, and HCAI billing right from Universal Office, or contact us.
4. Plan Presets
Isn’t it challenging to keep track of how many weeks, sessions, or funds are remaining for your patients? Let Universal Office do the work for you with an automatic countdown based on the treatment plans for your MVA, WSIB, and EHC patients.
To streamline the plan creation process even further, create a preset plan for each WSIB Program of Care provided at your clinic to track the duration of the program and the minimum required visits. For your MVA patients, create preset plans for your MIG and non-MIG patients based on your commonly used treatment protocols.
Are your EHC patients asking you how much is left on their benefits? Universal Office allows you to create a plan for each patient’s Extended Health Coverage based on their benefit schedule to help you track the amount of treatment that has been exhausted, and how much is remaining.
5. Document Templates
Do you and your staff spend a lot of time creating each of your documents from scratch? You can use the Universal Office library of document templates or build your own.
The Universal Office library contains Initial Assessment Reports, Progress Reports, Psychological Assessment Reports, Functional Abilities Evaluation Reports, and more. To import these documents go to the Appointment Book > View > TX Template Library, select the document you wish to import to Universal Office, click download form, and select the preset type/description you want that document to be assigned to in Universal Office. You can also create a new category if the document does not fit within any of the existing categories.
We hope this article helps you free up the time spent on repetitive, time-consuming tasks so that you can focus more on growing your practice.
