Now that communication with HCAI is mandatory, it’s also time to evaluate your practice management system. Does your system support these new regulations and make HCAI interaction simple?
With Universal Office, you can create, submit, and save all HCAI OCFs locally on your office computers, and track the adjudication process automatically from beginning to end. Universal Office will synchronize adjuster response (e.g. approved, partially approved, not approved) for every OCF right into patient’s file.
Single vs. Bulk Submissions
Once an OCF is completed, you have the ability to submit it as a single submission through a patient’s individual file, or save it as HCAI Compliant until a later date when you send all completed forms in a bulk submission through Universal’s HCAI Tracking Manager.When submitting as a single submission, simply fill in the OCF, and then click Submit & Close. Universal Office confirms that all required fields contain information. If you miss filling in any required fields, Universal will highlight the missing information in pink. Next, HCAI confirms that the Insurance Company, branch, provider occupation, and activity codes are valid. If the form passes these tests, it is successfully submitted to HCAI, and the status of the form changes to Successfully Delivered.
It is just as easy to perform a bulk submission. Once you have completed entering in all the information into the OCF, click Save As, and select HCAI Compliant. Universal completes the HCAI checks just as it does with the single submission. The system will not allow you to save as HCAI Compliant until all required fields are completed. If there are any errors in your form, the system highlights the applicable section(s) in pink. Click on the pink section link, and the missing/incorrect field is also highlighted in pink on the form. Simply make the required changes to the form, and save as HCAI Compliant once more. If all required information is correct and filled in, the status of this document changes to HCAI Compliant.
Every document that you save as HCAI Compliant will be collected in the Ready to Submit folder of the HCAI Tracking Manager. Whenever you are ready, simply click Select All and then click Submit. Through bulk submission, you have another chance to review the documents one more time before you send them to HCAI. You can also allow users to create OCFs yet restrict them from submitting to HCAI, so you control who can submit and review the documents before they are sent.You are always aware of the status of each document, and you can be confident that your HCAI submissions are error-free.
HCAI Tracking Manager
HCAI Tracking Manager within Universal Office gives you an at-a-glance look of all HCAI transactions: which documents are ready to submit, which documents have been submitted, which documents are waiting for a response, and which documents have received a response.
HCAI Tracking Manager also keeps track of document submission dates, so you never have to worry about missing a deadline. At any time and for any adjudicated document, you can print out details of adjuster response by double-clicking on an OCF in the Adjuster Response folder and clicking Preview.So when you are evaluating your practice management system, review the HCAI management features available to you.
